ISSUE DISCUSSED

ACTION
1 Definitions:
Agreed the following as a working definition which all will consider for finalizing before May Parish meeting:
‘To facilitate all those aspects of life e.g. emotional, spiritual, physical, mental that enable us to enjoy a community sense of health and wellbeing.’
All
2 Scope:
Agreed the following:
The group will only consider issues they have the opportunity or the possibility of influencing or doing something about.
This helps to define what we won’t be able to tackle i.e. any statutory service provision, medical issues, and we can keep referring back to this when considering what can be done within the confines of the Parish resources. Some issues we might want to pass to other groups or need to be tackled by all at the cross group meetings.
Scope needs to be confirmed at the next meeting.
Mark to take back to children and families group that they should be considering mums and babies if there are issues with this age group.
Mark
3 Progress from last meeting
Irene tabled the analysis of the Suckley data for the group to consider. We recognized that the data is now 9 years out of date but it was a starting point to see if there were any immediate pointers to the tasks for the group. There is an older population, and the possibility of target groups that could be identified e.g. carers, people with long term conditions, that might find accessing facilities more difficult.
Jacqui has been unable to locate a job description for a village warden but will continue to try.
Jacqui
4 Discussion points
It was felt to be useful to get a map to help locate the different micro communities within Suckley to help get an idea of the spread.
Single point of contact for information was considered important.
Anne/Marie
5 Early ideas for consideration in the plan
Succession planning for the Sphere magazine as we feel that communication about events and services in the village is essential for social inclusion and cohesion.
Development of the website for the above reason.
A welcome to the Parish pack
Annual Community get together – where people set out their ‘stalls’ ie skills that they might have on offer or facilities/goods they are prepared to share – these could also be asked for in the survey that is going out.
Visiting schemes for newly arrived and sick or disabled/older members of the community.

6 Future agenda items
Agree definition and the scope
Questions for the survey
Mapping of services that exist
Gaps identified/target groups
Frequency of meetings - two before the Parish meeting 12th April and 6th May and then to be considered.

ISSUE DISCUSSED

ACTION
1 Questions for the survey were agreed as follows:
1. Do you think that Suckley has a good community spirit? If not what do you think is missing?
2. Do you consider yourself to be a Carer in that you are looking after someone who is dependent on your support, or do you need care and support?
3. Have you faced an emergency/crisis at home and if so what helped, or what would have helped if support wasn’t available?

In addition there were two generic questions which would benefit all the groups if they are asked:
1. How do you get information about the local area and what is going on? Website/newsletter/word of mouth etc.
2. Do you have any skills or resources you would be willing to share with others on a voluntary basis?
Mark was asked to take these to discuss with Andrew.

The group also felt the process of completing the Community Plan is as important as the product and therefore wants to propose that all members of the working groups are invited to a meeting at Village Hall where the nominated member will speak on behalf of the group about he progress that has been made. This way the business is done but everyone has a chance to network with each other.
All the existing voluntary groups working in Suckley could also be invited to attend so that we can capture the work that is already going on – to build on it and reduce the possibility of reinventing the wheels!
Part of the Agenda for the first of these steering group meetings needs to be how the Plan is going to be communicated.
We are suggesting that the notes of all the groups are posted on the website and an article put in the newsletter telling people that they can find the notes on the web and a summary of the progress being made, for people that don’t access IT.
Mark to discuss all the above with Andrew

2 Mapping.
Ann presented the maps of the Parish which show the communities within it. This will be helpful when thinking about distribution of the questionnaires but also when thinking about the possibility of a ‘single point of contact’ through local people living in these communities.

Marie offered to act as a coordinator if this type of scheme is felt to be a good idea. The coordination role might be similar to the Village Warden that Jacqui has described which operates in Herefordshire. Unfortunately she hasn’t been able to get hold of a job description as yet.

3 Scope
Agreed that the group would work with the definition and scope as follows:
- Assessing the needs of the Parish as they evolve through the survey.
- Identify and utilize the resources which are available to meet those needs. This is an addition to the previously discussed and minted working definition.
Some resources already identified are:
  • Jennifer Whitaker(?) who runs luncheon clubs in an area but may be willing to reach out to other schemes.
  • Post Office website
  • Vol orgs - listed in the Parish magazine
